Notes & Projects
Every dictation in the Wispen app is saved as a note. You can group notes into projects, star favorites, search, undo changes, restore older versions and have notes read aloud.
The home screen
On iPhone and iPad, the home screen lists your notes. On the Mac, they're in the sidebar.
From top to bottom:
- A search field, and a button to import an audio file. On the Mac, a ⌘K button opens the command palette.
- The Projects header with buttons to sort notes, select notes, and create a project.
- Favorites, when you've starred any notes.
- Uncategorized, for notes that aren't in a project.
- Your projects.
- Recently Deleted, while it has notes in it.
On iPhone and iPad, the settings button is in the top-left corner and the microphone (new dictation) is in the top-right. On the Mac, Settings is at the bottom of the sidebar.
Notes
Create a note
- Tap the microphone on the home screen (iPhone and iPad) to create a note and start dictating right away.
- Tap + next to Uncategorized or a project to create an empty note there.
- Press ⌘N (Mac, or iPad with a keyboard).
New notes go into the project you used last, and are titled with the date and time. Tap the title in a note to rename it.
Note actions
On iPhone and iPad, swipe a note right to Favorite it, or left to Rename or Delete it. Touch and hold a note for more actions. On the Mac, right-click a note, or hover over it and click its menu button.
| Action | What it does |
|---|---|
| Favorite / Unfavorite | Adds the note to Favorites or removes it. |
| Rename | Changes the note's title. |
| Move to Project | Moves the note to Uncategorized or a project. |
| Reorder | Move Up, Move Down, Move to Top or Move to Bottom. |
| Delete | Moves the note to Recently Deleted. |
You can also drag a note onto a project to move it, or onto another note to place it there. Reordering switches the sort order to Custom Order.
Inside a note
Under the title you see the date and, with Word Count on, the number of characters, words and minutes to read (the Mac also shows sentences).
On iPhone and iPad, these are in the menu button at the top of the note: Copy Note, Read Aloud, Identify Speakers (notes with audio), Revert to Original Speech, Export, Favorite, History and Voice Commands. Undo and redo buttons sit next to it.
On the Mac, the toolbar has undo, redo, favorite, history, export, a speakers and original speech menu, voice commands, read aloud and copy.
Undo and redo
Use the undo and redo buttons to step back through typing, dictation, restores and other changes in the open note. A burst of typing counts as one step. The undo steps last until you leave the note; for older changes use History.
History
Wispen saves earlier versions of a note automatically: before a dictation is added, when you start editing, and before a restore, revert or speaker labeling. The last 50 versions of each note are kept.
- Open a note and choose History.
- Pick a version to preview it. Each one shows when it was saved, why, and how many words it had compared with now.
- Tap Restore and confirm Restore Version. The current text is saved to History first, so you can switch back.
History syncs with your notes over iCloud.
Projects
Projects are folders for your notes.
- Create: tap the new project button in the Projects header and enter a name.
- Rename or Delete: use the project's menu button, or touch and hold (right-click on the Mac) the project.
- Expand or collapse: tap the project name.
Deleting a project moves its notes to Recently Deleted. If you recover them, they come back in Uncategorized.
Sort notes
Tap the sort button in the Projects header, or go to Settings › Notes › Sort Notes By:
- Newest First (default)
- Oldest First
- Alphabetical (A–Z)
- Alphabetical (Z–A)
- Custom Order
Search
Type in the search field to find notes by title or text. Results show as one list, with a count. Press ⌘F to jump to the search field on the Mac or an iPad with a keyboard.
Select and delete several notes
- Tap the select button in the Projects header.
- Tap notes to select them, or tap Select All.
- Tap Delete (n) and confirm. The notes move to Recently Deleted.
- Tap Done to leave selection mode.
Recently Deleted
Deleted notes stay in Recently Deleted for 30 days, then they're removed for good. Each note shows how many days it has left.
- Tap Recover on a note to put it back.
- Tap Delete Permanently to remove it now. This can't be undone.
- Use the menu at the top for Recover All or Delete All.
Read Aloud
Choose Read Aloud from a note's menu (iPhone and iPad) or click the speaker button (Mac). Choose the same again to stop. Markdown symbols are skipped so they aren't read out.
Pick a voice in Settings › Notes › Voice:
| Voice | Notes |
|---|---|
| Apple Voice (Instant) | The default. Uses the best Apple voice installed for your language. |
| Aiden (Natural) | A natural-sounding voice that downloads the first time you use it. |
| Ryan (Natural) | A natural-sounding voice that downloads the first time you use it. |
Natural voices read English, Spanish, French, German, Italian, Portuguese, Japanese, Chinese and Korean, following your dictation language. For other languages, Wispen uses Apple's voice.
